Privacy Policy

This Privacy Policy explains how Michael Spigener d/b/a Skye Front Desk ("Skye," "we," "us") collects, uses, and shares information through skyefrontdesk.com, app.skyefrontdesk.com, and the Skye front desk service (the "Service").
1. Who this covers, and our role
- Our customers are the business owners who sign up for Skye, such as coaches, trainers, and therapists. For their account information, we decide how the data is used.
- Our customers' clients are the people who call or text a business that uses Skye, such as parents, students, and clients. We process their information on behalf of that business to provide the Service. The business is responsible for its own relationship with its clients. If you're a client, you can contact the business directly, or reach us at support@skyefrontdesk.com.
- Website visitors are people who browse our website or use our free audit tool.
2. Information we collect
From customers (business owners):
- Account details: name, email, phone number, business name, business type, address, and login information.
- Business settings: hours, services, prices, policies, and staff or location details.
- Billing information. Card details are collected and stored by Stripe. We don't store full card numbers.
- Connected accounts: if you connect Google Calendar or Square, we store the access tokens needed for those integrations (encrypted) and the data needed to sync with them.
- Your messages with Skye's concierge assistant, and your support requests.
About customers' clients (processed for the business):
- Contact details: names, phone numbers, and email addresses of parents or clients.
- Student or client details the business or parent provides, such as a student's name, age or level, and notes.
- Appointments, attendance, payment status, and balances.
- Text messages with the business's Skye line, and photos sent to it (such as a registration confirmation).
- Calls. What a caller says is converted to text in real time so Skye can understand and respond. Skye does not store call recordings, and we've turned off stored call transcripts and AI call summaries with our voice provider. Skye's greeting still tells callers that the call may be recorded or transcribed. We keep basic call details, such as call length, for usage and billing.
From website visitors:
- Information you submit, for example through the free audit or contact form: business name, email, phone, website, and answers.
- Device and usage data collected through cookies and similar technologies (see section 7).
3. How we use information
- To provide the Service: answering calls and texts, booking and managing appointments, sending reminders and confirmations, helping collect payments, and showing the business its dashboard.
- To bill customers and manage subscriptions.
- To keep the Service secure and reliable: detecting abuse, fixing errors, and monitoring quality (including reviewing text conversations to fix problems).
- To communicate with customers about their account, and to send product updates and marketing emails to business owners. You can opt out of marketing emails anytime.
- To comply with the law and carrier requirements.
We do not sell personal information. We don't use clients' conversations to advertise to them.
4. AI processing
Skye uses artificial intelligence to understand and respond to messages and calls. To do that, message content and live call speech are processed by our AI and voice providers: Anthropic (language), Vapi (voice), and Deepgram (speech-to-text, through Vapi). These providers process the data to deliver the Service under their business terms.
5. Text messaging (SMS)
- Businesses using Skye text their own clients about scheduling, reminders, and payments.
- Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except the service providers that operate the messaging service (such as our telecom provider).
6. How we share information
We share information only as needed to run the Service:
- Service providers that process data on our behalf:
- Supabase: database and file storage
- Vercel: web hosting
- Twilio: phone numbers, texts, and calls
- Vapi: voice AI (with Deepgram for speech-to-text)
- Anthropic: AI language processing
- Stripe: subscription billing and client payments
- Square: client payments, if the business connects it
- Google: Calendar availability, if the business connects it
- Resend: transactional email
- Klaviyo: email to business owners (not to their clients)
- Inngest: background job processing
- Sentry: error monitoring (request bodies and phone numbers are removed before sending)
- Between a business and its clients. For example, a client's booking is visible to that business.
- Legal reasons: to comply with law, respond to lawful requests, or protect rights, safety, and security.
- Business transfers: if Skye is involved in a merger, acquisition, or sale of assets, information may transfer as part of that deal.
7. Cookies, analytics, and advertising (website)
Our marketing website (skyefrontdesk.com) uses cookies and similar tools to understand visits and measure advertising:
- Plausible for privacy-friendly visit counts.
- Microsoft Clarity for usage analytics. It may record how visitors interact with marketing pages. Clarity does not run in the Skye dashboard (app.skyefrontdesk.com).
- Google Ads, Meta, and Reddit tags to measure ad performance.
You can block or delete cookies in your browser settings. You can also manage ad personalization through Google's Ad Settings and your Meta and Reddit account settings. These advertising tags run on our website, not inside the clients' messaging experience.
8. Children's information
Skye is built for businesses, and many serve children, such as tumbling or sports lessons. We don't knowingly collect information directly from children under 13. Information about minors, like a student's name and age, is provided by the business or a parent or guardian so the business can schedule services. A parent or guardian can ask the business, or us, to review or delete their child's information.
9. How long we keep information
- We keep customer and client data while the customer's account is active.
- Account deletion. When a customer deletes their account, Skye pauses right away and the customer has 7 days to undo the deletion. After that, we permanently delete the account's data, release its phone number, and remove its voice assistant.
- Canceled subscriptions. If a subscription is canceled and not restarted, we keep the data for 90 days so the customer can reactivate, email the customer 7 days before deletion, and then permanently delete it.
- What we keep. We keep billing records (such as invoices and subscription history) as needed for tax, accounting, and legal purposes. Deleted data can remain in backups until they roll off on their normal schedule.
- Website audit and contact submissions are kept until you ask us to delete them.
10. Security
We use industry-standard safeguards, including encryption in transit, encrypted storage of integration tokens, access controls that separate each business's data, and restricted administrative access. No system is perfectly secure, but we work to protect your information and will notify affected customers of a security breach as required by law.
11. Your choices and rights
- Customers can view and update their information in the dashboard, delete their account from the dashboard, or request a copy of their data by contacting support@skyefrontdesk.com.
- Clients can ask the business they work with, or us, to access, correct, or delete their information, and can reply STOP to stop texts.
- Depending on where you live (for example, California and other US states with privacy laws), you may have additional rights to know, access, correct, delete, or opt out of certain processing. We don't sell personal information or share it for cross-context behavioral advertising, except as described for our marketing website in section 7. To make a request, email support@skyefrontdesk.com. We'll verify your request and respond as required by law.
12. Changes to this policy
We may update this policy. If we make material changes, we'll notify customers by email or in the dashboard and update the effective date above.
